Here is a complete, ready-to-post Job Description tailored for a private-pay nursing home environment where polished communication and family service are key.
Accounts Receivable & Billing Specialist
Location: [City, State]
About the Role
We are seeking an experienced, detail-oriented, and highly compassionate Accounts Receivable & Billing Specialist to manage private-pay billing and collections across our 3 premier nursing home facilities.
In this role, you will be the primary point of contact for resident billing inquiries, statement processing, and payment collections. Because our resident community is predominantly private-pay with minimal Medicare/Medicaid processing, this role relies heavily on building strong relationships with residents, family members, and power-of-attorney representatives. Exceptional customer service, high-touch communication, and empathy toward the aging population are critical to success.
Key Responsibilities
Billing & Account Management: Prepare, verify, and issue monthly private-pay statements and billing invoices across 3 nursing home locations.
Accounts Receivable: Monitor accounts receivable balances, log incoming payments, reconcile account discrepancies, and maintain clear ledger notes.
Collections & Follow-Up: Conduct respectful, professional collection efforts on delinquent accounts while upholding the highest standards of dignity and customer care.
High-Touch Family Communication: Serve as the main contact for residents and family members seeking clarity on invoices, payment plans, and account status.
Resident Trust Accounts: Assist with managing resident trust funds, monthly ledgers, and account reconcilements as needed.
Administrative Support: Maintain accurate records, digital files, and cross-facility reporting for management review.
Qualifications & Requirements
Experience: 12 years of billing, accounts receivable, or healthcare business office experience preferred.
Customer Service Focus: Proven experience working with seniors, families, or in high-touch/high-service customer environments.
Strong Communication Skills: Clear, professional verbal and written communication skills with the ability to navigate delicate financial conversations with patience, tact, and clarity.
Attention to Detail: High degree of accuracy in recordkeeping, data entry, and numerical reconciliation.
Software Proficiency: Comfortable working with billing software, spreadsheets (Excel/Google Sheets), and basic financial systems.
