Medical Records Team (MRT) Supervisor

The Medical Records Team (MRT) Supervisor plays an active leadership role in the daily operations of the department. This position shares equal responsibility with a peer Supervisor for overseeing production, training, quality assurance, and workflow management. The MRT Supervisor ensures all medical record requests, submissions, and case documentation are completed with accuracy, timeliness, and full compliance with legal and client requirements. This role also promotes employee engagement, professional growth, and team accountability in alignment with TIP's mission and performance standards.
What you'll do:
- Supervise, coach, and support assigned MRT Specialists to meet performance goals, maintain quality standards, and ensure complete and compliant documentation.
- Monitor daily workloads, assign and prioritize tasks, and verify that all medical record requests, uploads, and submissions are completed within established timelines.
- Audit completed work for accuracy and compliance; identify trends, provide constructive feedback, and address training needs.
- Track and analyze "kickbacks" or rework trends to identify root causes and implement corrective action through re-education and process refinement.
- Partner with the MRT Manager to facilitate new hire training, ongoing education, and cross-training across campaigns.
- Create, update, and maintain departmental resources including SOPs, reference guides, and workflow trackers.
- Communicate all new policies, campaign updates, and procedural changes to assigned team members in a timely and professional manner.
- Participate in candidate interviews, contribute feedback, and assist with onboarding and performance evaluations.
- Manage attendance, scheduling, and time-off coordination to ensure adequate daily coverage and department continuity.
- Monitor and report supply needs (postage, envelopes, forms, etc.) and submit requests for approval to the MRT Manager.
- Verify medical review notes and ensure all required documentation is properly reflected in all work systems.
- Collaborate with the other MRT Supervisor to balance workload distribution, promote consistency, and ensure quality alignment across both teams.
- Recognize employee achievements, provide individualized coaching, and foster a positive, performance-driven culture.
Requirements:
- Minimum 1 year of experience requesting and reviewing medical records, preferably in a legal or healthcare setting.
- High school diploma or equivalent required. Associate degree or certification in Health Information Management, Medical Assisting, Medical Records, Medical Billing & Coding, Paralegal Studies, or a related field preferred.
- Working knowledge of medical terminology, diagnoses, treatments, and medications preferred.
- Proficiency with Case Management systems, Customer Relationship Management (CRM) platforms, or comparable systems.
- Proficiency with standard office applications (e.g., Microsoft Office and/or Google Workspace).
- Strong organizational and time management skills, with the ability to manage multiple requests simultaneously.
- Commitment to accuracy, confidentiality, and professional integrity.
- Documented experience working in Medical Records or related case-support functions
- Minimum 2 years of demonstrated leadership or mentorship experience required
- Strong organizational, communication, and analytical skills
Physical Requirements:
Typical Work Environment/Conditions: Cubicle, air conditioned, moderate noise, extended phone and computer usage.
Essential Functions/Physical Requirements: Ability to sit for long periods of time, speak on the phone, extended computer and keyboard use.

Schedule: Full-Time/Non-Exempt
Compensation: $27.00/hourly
