General Summary: Responsible for management of daily operations, work activities, and staff schedules in alignment with organizational strategic goals, including but not limited to the following:
- Responsible for employee performance management, office space and equipment maintenance.
- Collaborates with the Ambulatory Operations Manager on developing, monitoring and improving operational processes that supports optimal patient care and maximizing opportunities to meet and exceed budget expectations.
- Implements and ensures adherence to organizational processes and workflows that support optimal patient care in a multidisciplinary setting.
- Ensures staff are informed of and comply with written policies and procedures
- Holds staff accountable for adherence to policies and processes; follows organizational progressive disciplinary actions as appropriate.
- The Medical Office Supervisor coordinates and leads daily staff huddles to facilitate organizational and practice communication.
- Coordinates appropriate staff coverage optimizing facility occupancy to create an ideal patient and customer experience.
- Monitors staff scheduling determining appropriate staffing levels based upon office volume and budgetary requirements.
- Responsible for accurate and timely submission of payroll.
- Responsible for inventory management and appropriate ordering and par levels of supplies in the practice.
- The Medical Office Supervisor orients new hires to the practice and coordinates appropriate training based upon role.
- Daily Time of Service reconciliation and deposit batches.
- Reviews provider schedules daily for balance/insurance issues, and incorrect or inappropriate scheduling.
- Orchestrates the effort of and ensuring provider office time is maximized and efficient.
- Responsible for building provider and ancillary schedule templates.
- The Medical Office Supervisor assists in the development, implementation and adherence to organizational processes and workflows that supports optimal patient care in a multidisciplinary setting. The Medical Office Supervisor oversees and manages the work activities within the office.
- Supports organizational goals by providing quality customer service, participating in performance improvement efforts and demonstrating a commitment to team work and cooperation.
- Acts as a role model for the staff.
- Promotes and fosters team work.
- Supports staffing, training and daily operations of the department and acts as a point of contact for staff and providers.
- Responsible for staff performance appraisal process.
Monitors the following processes and assists as needed: - Answers and directs telephone calls
- Greets and arrives patients
- Verifies insurance, benefits, coverage, and eligibility
- Registers all patients as well as verifies and updates demographic information
- Assemble new patient medical records in accordance with policies
- Schedules, cancels, and reschedules patient appointments
- Assists patients with ancillary appointment scheduling and forms
- Files incoming medical reports, faxes and correspondence
- Collects monies for copays, balances and/or self-pay services rendered
- Reacts in a timely manner to resolve patient complaints promoting customer service or escalates when appropriate
- Authorizations and referrals
- Ancillary testing/ surgical scheduling
- Other duties as needed.
Minimum Requirements: - Bachelor's Degree in health care or business administration preferred
- 4+ years of office/ supervisory experience in a multiple physician practice setting
- Excellent organization skills and superb customer service acumen
- Ability to think creatively and strategically and develop innovative solutions to challenging problems, excellent physician relations skills, Human Resources knowledge,
- Ability to multi-task, provide exceptional attention to detail and handle a variety of patient issues and concerns in a professional and knowledgeable manner
- Working knowledge of Microsoft Office Applications including Word, Excel, PowerPoint preferred
- Knowledge of medical terminology, practice revenue cycle, medical insurance, and medical practice services and routines.
