The Medical Scribe Supervisor plays a key role in our oncology practice by leading and supporting a team of medical scribes who work closely with our oncologists and care teams. This position ensures accurate documentation of patient encounters, high-quality medical records, and smooth clinical workflows. With a strong understanding of oncology terminology, excellent organizational skills, and effective leadership abilities, the supervisor trains, mentors, and manages the scribe team while supporting providers and enhancing patient care. Requirements
ESSENTIAL FUNCTIONS
Monitor the accuracy and completeness of patient medical records created by scribes.
Implement quality control measures to ensure compliance with documentation standards and regulatory requirements.
Address and resolve any documentation errors or discrepancies promptly.
Workflow Management
Coordinate scribe schedules to ensure adequate coverage during clinic hours.
Collaborate with oncologists, nurses, and other healthcare providers to streamline clinical workflows and improve patient care processes.
Assist in the development and implementation of standardized documentation procedures.
Training and Development
Design and deliver comprehensive training programs for new hires and ongoing education for existing scribes.
Stay current with oncology‑specific medical terminology, treatment protocols, and advancements in the field to provide relevant training.
Administrative Duties
Maintain accurate records of scribe performance, attendance, and other relevant metrics.
Prepare and present reports on scribe team performance and documentation quality to practice management.
Participate in meetings and contribute to practice‑wide initiatives aimed at enhancing patient care and operational efficiency.
Technical Proficiency
Ensure the scribe team is proficient in using electronic health record (EHR) systems and other relevant software.
Troubleshoot technical issues and coordinate with IT support as needed.
Supervisory Responsibilities
Oversee the daily operations of the medical scribe team, ensuring optimal performance and productivity.
Provide training, mentorship, and support to medical scribes, fostering a collaborative and efficient work environment.
Conduct regular performance evaluations and provide constructive feedback to team members.
Qualification Requirements
Minimum of 3-5 years of experience as a medical scribe, preferably in an oncology setting.
Previous supervisory or team leadership experience required.
Education and/or Experience
Bachelor’s degree in healthcare administration, medical documentation, or a related field preferred.
Certified Medical Scribe Specialist (CMSS) or similar certification is an asset.
Skills
In‑depth knowledge of oncology terminology and treatment protocols.
Exceptional attention to detail and commitment to accuracy in medical documentation.
Strong organizational and time‑management skills.
Excellent communication and interpersonal skills.
Proficiency in EHR systems and other medical documentation software.
Working Conditions
Primarily in a clinical setting, with occasional administrative work.
May require evening or weekend hours depending on clinic schedules and needs.
