Duties and Responsibilities: - Provide direct supervision to the back office (medical assistant) staff including recruiting, training, onboarding, and performance management.
- Document and deliver corrective actions and/or counseling sessions in consultation with Human Resources.
- Implement the organization's customer service mandate and ensure staff is delivering a patient centric experience while upholding all applicable rules and regulations of a safe and fast-paced workplace.
- Responsible for creating monthly medical assistant clinic schedules and working with the Clinic Manager and other Medical Assistant Supervisors for finding staff coverage when needed.
- Ensures adherence to emergency procedures, codes and drills and infection control procedures.
- Actively participates and ensures the In-basket messages for medical assistant pool are completed.
- Participates in both external and internal audits, including chart audits.
- Work collaboratively to support patient flow throughout the clinic and escalate issues, as appropriate, to the Clinic Operations Manager.
- Collaborates with the Clinic Operations Manager to provide guidance, training, and mentorship to medical assistants to enhance their skills and competencies.
- Monitors strict adherence to universal precautions as established by the Center for Disease Control and Prevention.
- Actively participates in working with the Clinic Operations Manager and HR to create training schedule for all incoming Medical Assistants, including. cross training for other departments, to ensure organizational policies are applied consistently and fairly.
- Responsible for ensuring all staff are adhering to the clinical competencies.
- Perform a variety of clerical tasks, such as answering and directing calls and correspondence (grievance/patient complaints), arranging meetings, scheduling appointments, all while adhering to the clinics policies and regulations.
- Support the incident management process and de-escalation of patient/team situations to ensure a safe working environment and patient experience.
- Provide support during absences, crisis situations or heavy workloads, including other sites.
- Other responsibilities as assigned by Clinic Operations Manager.
Position Requirements: - High school diploma or equivalent
- Medical Assistant or LVN Certification required
- 2-3 years of experience in a supervisory or managerial role within a primary care setting.
- Proven experience as a medical assistant with demonstrated leadership abilities.
- Bilingual skills (writing and verbal) in Spanish, Korean or Russian, preferred.
- Site audit experience, preferred.
- BLS Certification required.
- Certified in Phlebotomy, required.
- Proficiency in using electronic medical records (EMR systems) and office productivity
- Excellent organizational and time management skills, with strong attention to detail.
- Strong communication and interpersonal skills, fostering effective teamwork and collaboration.
- Knowledge of medical terminology
