Position SummaryThe Medical Gas Schedule Coordinator Supervisor is a working manager responsible forsupervising the Medical Gas Scheduling team while actively managing an assignedscheduling region. This role oversees team performance, process compliance, operationalefficiency, and scheduling strategy. The Supervisor collaborates directly with the Vice President ofMedical Gas to drive continuous improvement, monitor departmental performanceindicators, and ensure high standards of documentation accuracy and customer service.Essential Job FunctionsPerform all responsibilities of a Medical Gas Schedule Coordinator III.Independently manage scheduling operations for an assigned region, coordinating technicians across multiple territories and varied skill sets.Supervise, mentor, and develop Jr., Level I, Level II, and Level III coordinators.Conduct periodic performance reviews, provide coaching, and administer corrective action when necessary.Provide hiring input, assist in candidate evaluations, and support onboarding efforts.Approve PTO requests and manage staffing coverage to ensure uninterrupted scheduling operations.Lead weekly scheduling team meetings to review workflow, operational challenges, and process improvements.Monitor departmental performance indicators and drive operational improvements aligned with organizational objectives.Develop, implement, and update scheduling procedures, documentation standards, and workflow enhancements.Serve as primary escalation point for scheduling conflicts, documentation discrepancies, and operational exceptions.Review and approve AdHoc Sales Orders (SO) created by Level I coordinators.Create and maintain Sales Orders (SO), Agreements (AGR), and Field Service Orders(FSO) within NetSuite in accordance with financial and operational controls.Create and manage Jobs within FieldAware ensuring alignment between approved SalesOrders and technician execution.Ensure accurate data entry, job status updates, and documentation integrity within NetSuite and FieldAware.Apply advanced knowledge of Every Outlet Inspection (EO), Certifications, and Preventive Maintenance (PM) workflows to guide scheduling strategy and agreement accuracy.Collaborate directly with the Vice President of Medical Gas regarding staffing strategy, workload distribution, and process optimization initiatives.Work in-office a minimum of three (3) days per week to support team leadership and collaboration.Complete special projects and strategic initiatives as assigned by the Vice President of Medical Gas.Authority LevelIndependent AdHoc Sales Order authority.Reviews and approves Level I AdHoc Sales Orders.Final operational escalation authority prior to Vice President involvement.Physical DemandsAbility to sit for extended periods of time in an office setting.Position Type/Expected Hours of WorkThis is a full-time position.Hours of work are Monday-Friday 8:00am to 5:00pm unless assigned to a region in the western US which may require different hours.QualificationsASSE 6005 certification required.Extensive knowledge of Every Outlet Inspection (EO), Certification inspections, Preventive Maintenance (PM), and agreement-based service workflows.Demonstrated leadership experience in scheduling, dispatching, or operational coordination.High School Diploma required.Proven ability to supervise and develop team members.Strong operational judgment, problem-solving, and decision-making skills.Advanced organizational skills with high attention to detail and accountability.Proficiency in NetSuite, FieldAware, and Microsoft Office applications (Word, Excel, Outlook).Must pass Basic Excel assessment.Typing speed greater than 35words per minute (tested).
