Job Details Job Location: 3770 Arcata - Arcata, CA 95521 Position Type: Full Time Salary Range: $23.61 - $25.80 Hourly Job Shift: Day About Redwood Coast PACE Redwood Coast PACE with Humboldt Senior Resource Center is a Program of All-inclusive Care for the Elderly (PACE). It is a comprehensive health plan for older adults who wish to remain living in their homes and communities by providing medical, social, nutritional, rehabilitation, and support services. The goal is to help participants stay healthy and independent. Many participants report fewer health crises and better overall health. Schedule Monday through Friday, 8 a.m. to 5 p.m. Job Summary Under the direction of the Assistant Director of PACE, the Medical Scheduling Supervisor is responsible for oversight of Redwood Coast PACE Medical Scheduling operations, including direct supervision of Medical Schedulers and the Medical Records Coordinator, and for the development of policies, procedures, and scheduling and records processes. Essential Duties and Responsibilities Develop, implement, and manage efficient scheduling processes for all medical services within the PACE program, including physician appointments, specialist referrals, and ancillary services. Oversee a team of medical schedulers, providing direct supervision and performance feedback. Collaborate with the Interdisciplinary Team (IDT) to understand participant needs and ensure timely access to necessary care. Work with transportation department to coordinate logistics and ensure participants arrive for appointments on time. Maintain accurate and up‑to‑date scheduling records using electronic health record (EHR) systems. Monitor key scheduling metrics and identify areas for improvement. Develop and implement strategies to address scheduling challenges and bottlenecks. Ensure adherence to all regulatory guidelines and best practices for healthcare scheduling. Stay up to date on changes to PACE program requirements and adapt scheduling processes accordingly. Supervise the daily activities of the medical records department, including filing, coding, retrieval, and release of information. Implement and maintain effective systems for medical record storage and retrieval. Stay up to date on current regulations and best practices for medical recordkeeping in PACE programs. Train and mentor medical records staff on proper procedures and protocols. Liaise with other departments, such as nursing and social work, to ensure seamless communication regarding participant medical records. Prepare reports and data analysis related to medical records. Identify and implement process improvements to enhance efficiency and accuracy in medical recordkeeping. Attend all required leadership meetings and trainings. Act in a manner consistent with agency values. Qualifications Education: Bachelor’s degree with emphasis in healthcare or related field preferred. Experience: Two (2) years of experience working in a clinic or health care setting, and at least one (1) year of supervision experience preferred. Licenses or Certificates Current CPR and First Aid certification within six (6) months of hire. Pre‑Screening Requirements Clearance of a DOJ and FBI criminal history background check. Pre‑employment physical and PPD skin test (TB screening). COVID‑19 and Influenza (flu) vaccines preferred. Job Skills Demonstrated experience in quality assurance and performance improvement activities. Knowledge and experience working with physical, social, and mental health programs in a licensed health facility or clinic. Ability to function effectively within a multi‑service, community‑based nonprofit agency. Ability to comply with program requirements and applicable government regulations. Strong verbal and written communication skills; able to communicate effectively and openly with team members about participant status and needs. Excellent interpersonal skills that maintain a positive attitude, foster team‑building, and support effective work relationships, negotiation, and conflict resolution with co‑workers, management, participants, and community contacts. Good judgment, resourcefulness, flexibility, and problem‑solving skills. Ability to work independently and within an Interdisciplinary Team, representing a diverse team of various occupations. Strong administrative, organizational, and supervisory skills; able to train and delegate responsibilities among employees. Ability to work with, supervise, and discipline employees in a team setting. Ability to prioritize and complete duties within an agreed‑upon time frame and adapt to changing priorities and workload. Ability to incorporate an understanding of detailed requirements in work activities; collect and analyze data. Ability to coordinate, advocate, and cooperate with other agencies for seniors with tact and diplomacy. Strong basic computer skills (Microsoft Outlook, Word, PowerPoint, and Excel). Ability to navigate, use, and maintain database software programs. Basic knowledge of web‑based applications such as timekeeping, training, and email programs. Supervisory Requirements This position supervises Medical Schedulers and the Medical Records Coordinator. In coordination with Human Resources and other supervisory staff, it oversees hiring, orienting, training, evaluating, disciplining, and terminating specified departmental staff. Physical Requirements Physical abilities sufficient to move between different staff work areas, communicate with staff and the public, sit for long periods of time, operate a computer for long periods of time, produce reports, talk on the telephone, and travel to other work sites.
